Set up DocCenter Integration

DocCenter is Appian's application for enterprise-grade intelligent document processing. DocCenter uses AI to extract structured data from both structured and unstructured documents and forms, with built-in model versioning, reconciliation, and accuracy metrics.

The integration between DocCenter and Government Source Selection (GSS) connects these document processing capabilities directly into the evaluation workflow. When the DocCenter integration is configured, contracting personnel can use AI price extraction to automatically extract pricing data from uploaded vendor proposal documents during the Add Vendors workflow, reducing manual data entry and errors.

DocCenter extraction models read vendor documents, identify pricing structures, and return structured data (total price, price breakup, and pricing notes) to GSS. The extracted data is then available for review and confirmation on the pricing reconciliation page.

Caution:  Both GSS and DocCenter must be installed in the same Appian environment for this integration to work. If DocCenter is not available in your environment, the AI price extraction feature cannot be used. The DocCenter integration is supported in MariaDB only. Support for Oracle DB is planned for the future.

Prerequisites for DocCenter integration

The following requirements must be met before configuring the DocCenter integration with Government Source Selection (GSS):

  • Appian version 26.6 or later.
  • GSS 3.2.0 or later.
  • DocCenter 4.3.0 or later installed and configured in the same environment as GSS. See DocCenter for installation and setup information. If DocCenter is not available, keep the AS_GSS_TOGGLE_PRICE_EXTRACTION_ENABLED constant set to False.
  • A supported business data source shared between GSS and DocCenter.

Note:  DocCenter requires the following AI skills to be enabled in your environment: Prompt Builder and Advanced IDP Tools. Verify these are enabled before proceeding.

Step 1: Run the integration SQL scripts

After both GSS 3.2 and DocCenter are installed, run the integration SQL scripts to create the database objects that connect the two applications.

To create the integration database objects in MariaDB:

  1. Locate the integration SQL script in the GSS software package downloaded during GSS installation:
    • AS_GSS_AIA - AS_GSS_AIA v1.0 - MariaDB - Full Script with Dependents.sql
  2. In your MariaDB business database, import and run the integration SQL script.

Tip:  Running this script automatically creates the Vendor Pricing Extraction model in DocCenter. This pre-configured extraction model defines the fields GSS uses to extract total price, price breakup, and pricing notes from vendor documents. No manual model creation is required in DocCenter.

Note:  The integration SQL scripts are optimized for MariaDB. The DocCenter integration is supported in MariaDB only. Support for Oracle DB is planned for the future.

Step 2: Load pricing model in DocCenter application

To load the pricing model:

  1. Go to Appian Designer > DocCenter (AIA).
  2. Under Object Type, select Record Type.
  3. Select AIA Extraction Model.
  4. Click Sync options in the navigation.
  5. Click START FULL SYNC.
  6. Verify the sync is successful.

  7. Perform steps 3 to 6 for the following record types:

    • AIA Extraction Model Version
    • AIA Extraction Model Version Field
    • AIA Extraction Model Version Section
    • AIA Model Trigger

Step 3: Configure application security

Users must have membership in both GSS and DocCenter security groups to use AI price extraction.

Add the GSS contracting personnel and administrator groups to the respective DocCenter groups:

  1. Go to Appian Designer > DocCenter (AIA).
  2. Under Object Type, select Group.
  3. Select AIA Operations.
  4. Click ADD MEMBERS.
    1. In the Search field, enter AS GSS Contracting Personnel.
    2. Select the group and click ADD.
  5. Select AIA Administrators.
  6. Click ADD MEMBERS.
    1. In the Search field, enter AS GAM Appian Administrators.
    2. Select the group and click ADD.

Note:  The AIA Operations group grants read-only access to view extraction instances and model performance. The AIA Administrators group grants full access to create and manage extraction models. Users do not need access to the DocCenter application interface to use AI price extraction in GSS.

Step 4: Configure AI price extraction

After the integration database objects are created and security is configured, enable the AI price extraction feature in GSS. See Configure AI price extraction for instructions.
