  • Appian Solutions
  • Content Tools
  • Azure OpenAI Connected System
  • Regular Expression Functions

The steps for deploying plug-ins are different for an Appian Cloud or self-managed environment. Be sure to note which set of deployment steps you need for your environment.

Appian Cloud environments

To deploy the plug-ins for an Appian Cloud environment:

  1. In the target environment, sign in as the deployment user.
  2. Navigate to the Admin Console.
  3. On the left side of the console, click Plug-ins.
  4. Click ADD PLUG-INS.
  5. Search for and click Appian Solutions.
  6. Click DEPLOY.
  7. Repeat steps 4 and 5 for each of the following plug-ins:
    • Content Tools
    • Azure OpenAI Connected System
    • Regular Expression Functions

Self-managed environments

To deploy the plug-ins for a self-managed environment:

  1. Download the following plug-ins directly from the Appian AppMarket:
  2. Follow the Deploying Plug-ins instructions to deploy the plug-ins.

Step 4: Create database objects

To create the structure for the database tables, views, and other objects that are a part of the Government Source Selection (GSS) application, you need to run a DDL script in your database.

To create the database objects in MariaDB:

  • Run the scripts/01.SourceSelectionv3.3.0.sql DDL file that was downloaded in Step 1 in your database.

Note:  This DDL file is optimized for MariaDB. If you are using a different type of database, the DDL file may need to be modified.

To create the database objects in Oracle:

  • Run the oracle-scripts/01.SourceSelection3.3.0.sql DDL file that was downloaded in Step 1 in your database.

Note:  When upgrading from Government Source Selection (GSS) 3.2.0 to 3.3.0, run the 3.3.0 DDL script to create the database objects that support multi-round evaluations.

Step 5: Import the application

The final step needed to install the Government Source Selection (GSS) application is to import the application files into the target environment.

To import the application:

  1. In the target environment, sign in as the deployment user.
  2. Navigate to Appian Designer.
  3. Click IMPORT.
  4. Click UPLOAD and choose the SourceSelectionv3.3.0.zip file that was downloaded in Step 1.
  5. Select Include related import customization file.
  6. Click UPLOAD. Select the SourceSelectionv3.3.0.properties file that was downloaded in Step 1.
  7. Click INSPECT.
  8. Review the inspection results. If there are no issues, click IMPORT PACKAGE. The import can time out due to file size, but it continues in the background.

Note:  If the business database is not called Appian, a warning occurs when importing the data stores. After the import completes, open each data store object and update the Data Source dropdown list to fix this issue.

Step 6: Install hotfixes

After you finish installing Government Source Selection (GSS), be sure to check for any relevant hotfixes, and if applicable, apply the latest hotfix version by performing the following steps:

  1. Go to the SUPPORT tab on My Appian.
  2. Click DOWNLOADS.
  3. Click SOLUTIONS.
  4. Find and open the Government Source Selection version installed in your environment.

  7. Click the hotfix file name to download it.
  8. Unzip the hotfix package to access the software installation files.
  9. Repeat the main installation steps from 3 to 5 above.

Step 7: Run reconciliation and migration

The final step is to run data reconciliation and migration for the GAM Acquisition Central integration with Government Source Selection (GSS).

Note:  Data reconciliation is applicable only when upgrading from GSS 2.4 or earlier version to the latest version. If you have already upgraded to GSS 2.5 or later and ran the reconciliation once, you can skip this step during this upgrade. This step is optional when installing GSS newly or when you have no vendor data in your GSS environment. To run data reconciliation and migration, you must be a member of the AS GSS Reconciliation Migration Users group.

Caution:  Before running data reconciliation and migration, make sure vendors have values for all required fields and there are no duplicate entries. This ensures you avoid any errors when the process runs.

To run this process:

  1. Navigate to the Source Selection Vendor Data Migration site.
  2. Click CONTINUE to view all vendors from the GSS site.
  3. Review and update any vendors that have invalid data before proceeding to reconciliation.

Note:  To update vendors, you must be a member of the AS GSS Add or Update Vendor PM Access group.

  4. Click START RECONCILIATION to begin the reconciliation and migration process.
  5. After the process successfully completes, GSS is ready to use.

See Setting up GAM Acquisition Central Integration to finish setting up the integration.

Troubleshooting tips

If you encounter errors while running the reconciliation and migration process, check the process instance, fix any issues, and re-run the process.

Common errors

The following table outlines the two most common types of errors you might encounter and what they mean.

Error Type Message Description
Data error "There are some incorrect values passed to the vendor data. Please correct them and try again." Consult the process instance to determine the cause. After you've fixed all issues, re-run the process. Common reasons for this error are missing values in required fields or duplicate entries.
Authentication failure "Authentication failed. Please contact your system administrator or try again later." Reason 1: When the user performing the action does not have the required access to run the process for reconciliation or migration., Reason 2: An incorrect API key is configured in the connected system object AS GSS DRM CS GAM Suite Management.

Step 8: Set up GSS and configure integrations

Government Source Selection (GSS) is a flexible solution that can be customized to fit your organization's needs. GSS also comes with integrations with Azure OpenAI, DocCenter, MS Office 365, SAM.gov, Government Contract Writing, and Vendor Management.
