Record Type Workspace Settings

On This Page

Workspace settings determine whether the record type is shown as a dataset in Process HQ or as a Record in Tempo.

To make record types available in the end-user workspaces, you must configure the workspace settings and ensure users have at least Viewer permissions for the record type.

Note:  Workspace settings do not control whether a record type is available as process data in Process HQ. To use a record type as process data, see Secure Data for Process HQ.

Show a record type as a dataset in Process HQ

You can show any synced or unsynced record type as a dataset in Process HQ.

If you generated record types, those record types are shown as datasets in Process HQ by default. For all other record types, you must enable this option manually.

To show a record type as a dataset from Appian Designer:

  1. In the record type, go to Workspaces.
  2. Select the Show this record type as a dataset in the Data Catalog of Process HQ checkbox.
  3. Click SAVE.

To build reports with the dataset in Process HQ, users must be in the Report Creators system group.

Show a record type in Tempo

By default, new record types do not display on the Records tab in Tempo. You can enable this setting to allow users to browse and search for records directly.

To show a record type in Tempo:

  1. In the record type, go to Workspaces.
  2. Select the Show this record type on the Records tab in Tempo checkbox.

Note:  This setting only controls record type visibility in the Records tab. Hiding a record type does not prevent users from viewing a record's list or views in Tempo.

  3. For Icon, select an icon relevant to your record type so that users can find it faster in the list. Review styling and sizing recommendations for these icons.
  4. For Icon Color, choose a color to help differentiate your record type from others.
  5. Click SAVE.

Record type icon recommendations

Use an icon that represents a distinguishing attribute of the record type, such as a company logo. This will allow users to quickly identify a record by viewing the associated icon.

Follow these guidelines to ensure icons are clear and professional:

  • Use simple shapes: Choose icons that are easily recognized at small sizes.
  • Avoid detail: Don't use photorealistic or highly detailed images.
  • Use clear backgrounds: Use a transparent or white background and avoid adding borders.
  • Size correctly: Use the recommended dimensions of 124px x 124px.

The visible area of the icon renders at 62(h) x 62(w) device-independent pixels (dip).
