Record Type Workspace Settings

On This Page

Workspace settings control whether you publish the record type for analytics and AI and whether the record type appears as a Record in Tempo.

In addition to enabling these workspace settings, you must ensure the appropriate users or service accounts have at least Viewer permissions for the record type.

Note:  Workspace settings do not control whether a record type is available as process data in Process HQ. To use a record type as process data, see Secure Data for Process HQ.

Publish a record type for analytics and AI

You can publish any synced or unsynced record type for analytics and AI.

Publishing a record type for analytics and AI makes it available to the following features:

  • Datasets in Process HQ: Business users can explore the record type as a dataset in reports and dashboards. Available for synced and unsynced record types.
  • Appian MCP Server: External AI agents can query the record type through Appian MCP Server. Available for synced record types only.
  • Data fabric chatbot: Users can ask the data fabric chatbot questions about the record type. Available for synced record types only.

Since publishing makes the record data available in multiple places, ensure you review the record type's security before you publish. Different features have different object-level security and group membership requirements. For details, see Secure Data for Process HQ and Appian MCP Server Security.

To publish a record type for analytics and AI:

  1. In Appian Designer, open the record type.
  2. Go to Workspaces.
  3. Select the Publish for Analytics & AI checkbox.
  4. Click SAVE.

Tip:  As a shortcut, you can also enable this option directly from the Overview page of the record type.

Show a record type in Tempo

By default, new record types do not display on the Records tab in Tempo. You can enable this setting to allow users to browse and search for records directly.

To show a record type in Tempo:

  1. In the record type, go to Workspaces.
  2. Select the Show this record type on the Records tab in Tempo checkbox.

Note:  This setting only controls record type visibility in the Records tab. Hiding a record type does not prevent users from viewing a record's list or views in Tempo.

  3. For Icon, select an icon relevant to your record type so that users can find it faster in the list. Review styling and sizing recommendations for these icons.
  4. For Icon Color, choose a color to help differentiate your record type from others.
  5. Click SAVE.

Record type icon recommendations

Use an icon that represents a distinguishing attribute of the record type, such as a company logo. This will allow users to quickly identify a record by viewing the associated icon.

Follow these guidelines to ensure icons are clear and professional:

  • Use simple shapes: Choose icons that are easily recognized at small sizes.
  • Avoid detail: Don't use photorealistic or highly detailed images.
  • Use clear backgrounds: Use a transparent or white background and avoid adding borders.
  • Size correctly: Use the recommended dimensions of 124px x 124px.

The visible area of the icon renders at 62(h) x 62(w) device-independent pixels (dip).
