Setting Up the Procurement AI Copilot Module

After installing the Procurement AI Copilot module, you need to set it up before using it with your Requirements Management (RM) solution. This guide walks you through the setup steps.

Enable Procurement AI Copilot toggles

To integrate the Procurement AI Copilot module with your RM solution, navigate to the Procurement AI Copilot Settings page and enable each toggle associated with a specific functionality. This action activates the module, enabling it to process data, generate insights, and provide intelligent assistance to streamline your procurement processes.

Procurement AI Copilot Chatbot toggle

This feature introduces an AI-powered chatbot directly within the Requirements Management solution to provide real-time assistance and guidance throughout the procurement lifecycle. Once enabled, users can interact with the chatbot to ask questions about procurement policies, contract terms, best practices, and system functionalities. It can help in drafting initial contract language, suggesting clauses, and identifying potential risks or compliance issues. This significantly reduces the time spent searching for information and improves the accuracy of contract drafting. Enabling this toggle integrates the AI-powered chatbot into the Requirements Management interface, making it readily available to users.

Contract File: Document Chat toggle

This feature enables users to engage in a conversational interface directly within the documents contained within a contract file. This applies to all solicitations and awards. Instead of manually sifting through lengthy legal documents, users can ask specific questions about the content of any document within the contract file.

For instance, a user could ask, "What are the payment terms in this agreement?" or "Does this document include a force major clause?" The AI then extracts and presents the relevant information. This dramatically speeds up document review, ensures thorough understanding, and aids in quick decision-making. By enabling a specific toggle, this interactive chat capability becomes available for all documents associated with solicitations and awards, enhancing user efficiency and comprehension.

Contract File: Document Summarizer toggle

This feature empowers users to generate concise summaries of contract file documents across all solicitations and awards. Complex legal and contractual documents can often be extensive and time-consuming to read in their entirety. The Document Summarizer leverages AI to identify and extract the most critical information, key clauses, and main points, presenting them in a digestible format. This is invaluable for quickly grasping the essence of a document, preparing for meetings, or providing executive overviews without having to read every single word.

This toggle enables you to select between Azure AI and Native AI for Document Summarizer. Choosing Azure AI requires you to first set up an account with Azure OpenAI and configure the connected system with your credentials, following the steps outlined in Setting Up Azure OpenAI.

Once this toggle is enabled, the document summarization functionality is activated in your RM solution, providing your users with an efficient way to digest large volumes of contractual information quickly and accurately.
