Notifications

The Alerts page in the Portal [Deprecated] allows you to view notifications and notices sent to your user account.

  • Notifications let you know when changes are made to your account, group memberships, News feed, tasks, and Knowledge Center rights.
    • A full listing of available notifications is listed below.
    • You can configure the use and frequency of these notifications by editing their settings.
  • Notices are a subset of notifications and alert you to system-wide changes or events and are usually sent by system administrators.
    • For the sake of this documentation, notifications will refer to both notifications and notices.

Viewing Notifications

To view your notifications, click the Alerts link in the top navigation bar of the Portal [Deprecated].

Deleting Notifications

Once you view a notification, you can chose to delete it by selecting the check box that corresponds to the alert and clicking Delete.

You can also remove all alerts that you've received by clicking the Delete All Alerts button.

Editing Notification Settings

To edit the rules that govern the notifications you receive, complete the following:

  1. From the Alerts page, click Edit My Alert Settings in the toolbar.
    • The Edit My Alert Settings page is displayed.
  2. Select the application component that sends notifications, which you want to edit, such as Collaboration.
  3. Select the type of alert that you want to edit or update with a new rule.
    • The alert rules associated with an alert type are displayed.

  4. Click edit to modify the alert rule. — OR —
  5. Click delete to remove the alert rule. — OR —
  6. Click add rule to define a new alert for the alert type.

Alert Rule Elements

An alert rule has three elements: alert type, delivery method, and parameters (conditions).

Notification Type

The types of alerts vary according to the component that generates the alert.

User and Group Notifications

  • Username changed: These alerts are only sent through email.
  • Group Access Request (deprecated)
  • Group Access Request Approved (deprecated)
  • Group Access Request Denied (deprecated)
  • Group Membership Removed (deprecated)

Portal Notifications

  • You Have Received a Message: (deprecated) Notifications that occur when you receive messages from other users.
  • Page Feedback from User: (deprecated) Notifications that occur when you receive feedback from a user who has visited your portal page.
  • Page Access Has Been Removed: (deprecated) Notifications that occur when no longer have access to a page.
  • You Have Received a Link to a Page: (deprecated) Notifications that occur when you receive a link to a portal page.

Document Management (Collaboration) Notifications

  • Expiring Files: Notifications that occur when a file in document management is within two weeks of expiring.
  • Export Completed: Notifications that occur when an application is exported.
  • Import Completed: Notifications that occur when an application is imported.
  • Knowledge Center Access Approved: (deprecated) Notifications that occur when you are granted access to a knowledge center.
  • Knowledge Center Access Denied: (deprecated) Notifications that occur when a knowledge center access request is denied.
  • Knowledge Center Access Request: (deprecated) Notifications that occur when a knowledge center access request is received.
  • Knowledge Center Change Approved: (deprecated) Notifications that occur when a change you've made to a high-security knowledge center is approved.
  • Knowledge Center Change Denied: (deprecated) Notifications that occur when a change you've made to a high-security knowledge center is denied.
  • Knowledge Center Change Request: (deprecated) Notifications that occur when a change is made (such as file uploads or new folder requests) to a high-security knowledge center that you administer.
  • You Have Received a Link to a Document: (deprecated) Notifications that occur when someone sends you a link to a document.

Process Notifications

  • A Task is Unassigned
  • An Error in Process Has Occurred
  • An Error in Process Model Has Occurred
  • An Error in a Task of Process Has Occurred
  • Can Not Delete Sub/link Process
  • New Task Assigned to Me
  • New Task Assigned to Me and Others
  • Process Model Auto-Published
  • Sub-Process is Disabled or Deleted
  • Sub/linked Process Models are Republished
  • Task Has Been Escalated

Feed Notifications

  • Group has been added as a participant
  • New comment on a kudos that you gave
  • New comment on a kudos that you have commented on or starred
  • New comment on a kudos that you received
  • New comment on a post or message that you have commented on or starred
  • New comment on a system event that you have commented on or starred
  • New comment on an event attributed to you
  • New comment on an event that you have commented on or starred
  • New comment on your message
  • New comment on your post
  • New event attributed to you
  • New hazard on a system event that you have commented on or starred
  • New hazard on an event attributed to you
  • New hazard on an event that you have commented on or starred
  • New kudos given to you
  • New message sent to group
  • New message sent to you
  • Participants added to your news entry
  • You have been added as a participant

Delivery Method

There are two types of delivery methods for alerts: email and portal.

  • Email delivers alerts to the email address listed in your profile.
  • Portal alerts deliver messages to your Alerts inbox in the Portal [Deprecated]

NOTE: Feed alerts are only delivered using email.

Parameters

Based on delivery method, you can modify certain parameters associated with that delivery method.

  • Select the timing parameter to update your email preferences.

Email notifications can be sent immediately, never, or grouped in one of the following ways:

  • Hourly Bulk Email
  • Daily Bulk Email
  • Weekly Bulk Email

Bulk email options consolidate alerts into a single message for the time period selected (up to 200 items).

Portal Notifications remain available for a configurable number of days.

  • Change the number of days that a message remains available in the portal by selecting add parameter.
  • In the days list (1 day), select the number of days you want the alert to remain available (between 1 and 100 days).
